Receptionist - Galway
Senior Receptionist / Facilities Administrator Contract: 12 months. Salary: Approximately 35k. Facilities Administrator/Receptionist to provide comprehensive support to excellent multinational financial services organisation in Galway. The responsibilities of the Receptionist / Facilities Administrator will include but will not be limited to:- Meet & greet clients, escort visitors, manage security and visitor lists. Manage car park: allocating spare spaces on a business need. Prepare monthly reports to Management. Update staff listing and telephone lists when as and as necessary. Arrange Taxis & VIP pickup. Manage deliveries and queries from teams in terms of Offsite Storage. Distribute invoices and follow up on team queries. VC bookings and meeting room bookings. Arrange the provision of refreshments ford client and VIP meetings. Manage internal and external room bookings. Manage associated hospitality. Manage boardroom/meeting room re-configuration. Inbound and outbound client mail. Log incoming and outgoing couriers. Log all registered post – incoming & outgoing. Ordering &Delivery of Daily Newspapers. Provide support to the business units. Processing of Invoices. Travel & entertainment expenses. Carry out stock take, order and replenish stationery. Liaise with FM with regard to day to day administrative matters. Receptionist Skills. Excellent organisational skills, with particular attention to detail. A strong ability to multi task, with excellent time management skills. Proven track record of meeting deadlines. At least 2 years administrative experience is required. Ability to work on one's own initiative, whilst also being able to take direction. Be fully computer literate – strong Microsoft / Lotus Notes Skills. Be an effective and professional communicator, both verbally and non-verbally: the successful candidate will be communicating across all levels both within the business and externally.
