SUMMARY OF ROLE: We are currently recruiting for an experienced Freight Operations Executive for our Client, an international freight specialist, based in North County Dublin. This is a full-time permanent position. The location is not serviced by public transport therefore you will require your own transport or a lift to work. AIR/OCEAN EXPORT DUTIES WILL INCLUDE: • Receive bookings from clients; • Check rates/costs at time of booking receipt to ensure accuracy and correct handling; • Monitor the booking at all times through shipping-line and Airline tracking systems; • Place booking with relevant shipping line/co-loader/Airline; • Organising Transport on LCL/FCL shipments as required and pick up and deliveries to the Airline handling agents; • Send booking confirmation to customer to confirm all ETD/ETA details on the booking; • Arrange customs export SAD and maintain files and adhere to quality systems as set out; • Internally for Revenue regulations and AEO compliance; • Issue BOL Instructions and confirm shipment on board by sea; • Issue MAWB/HAWB for Air shipments and confirm on board; • Arrange to scan documents and pre-alert destination agents on shipment arrivals; • Invoice the file and update accruals on systems; • Solve Accounts Queries in a timely manner by email or phone, fast turnaround is required; • Address all customer communications within a short time frame; • Ensuring any customer reports are updated and completed in a timely manner; • Ensure all file documentation is boxed and filed appropriately once completed. AIR/OCEAN IMPORT DUTIES WILL INCLUDE: • Receive booking from clients; • Verify rates/costs at time of booking to ensure accuracy and correct handling; • Monitor the booking at all times through shipping-line & Airline tracking systems; • Place booking with relevant shipping line/co-loader/Agent or Partner office as required; • Send Booking confirmation to customer confirming schedule details in a timely manner; • Preparation of documents and liaising with overseas agents; • Customs Clearance – setting up entries in a timely manner and ensuring accuracy prior to physical arrival to Port/Airport; • Process the clearance of goods/collection of any fees Vat/Duties in advance and arrange deliveries thereafter from port/Airline hub; • Collection of Original BOL if required prior to release of cargo by sea; • Invoicing of files and full accruals update; • Scan POD to file as required; • Solve Accounts Queries in a timely manner by email or phone, fast turnaround required; • Address all customer communications within a short time frame; • Ensuring any customer reports are updated and completed in a timely manner; • Ensure all file documentation is boxed and filed appropriately once completed. ESSENTIAL REQUIREMENTS: • Familiar with the operation of a transport office and knowledge of air sea freight; • Must understand air-sea freight administration; • Must have air-sea freight experience; • Good phone skills and experience dealing with customer queries; • Good customer service experience in a fast paced environment; • Good team skills and experience; • Accurate and fast data entry skills; • Common sense and practical, energetic approach to work, must have a positive attitude to work, and above all common sense to solve problems. WORKING HOURS: Monday to Friday 9-5.30pm. RATE OF PAY: €25,000 to €30,000 depending on experience; death in service benefit, pension scheme, company bonus scheme. JOB CODE: QED0080.
