Administration Support. This is an excellent opportunity for a proactive, organised self-starter to join a multinational company as an Office Administrator - but you will mean much more to your colleagues... Why because... You will provide support for three functions - Finance, Facilities & HR along with organising general amenities & facilities & ensuring that everyone is well catered for when they arrive at the ever- popular, Coffee Docks, around the building. Duties & Responsibilities: Overall organisation & administration. Organise the facilities and refreshments and associated supplies are available for staff and visitors are available at all times - i.e. Coffee/tea etc.; look after the Meeting Room booking system, including any catering needed for meetings. Organise ID cards for new employees. Manage and maintain the building & all related issues. Maintain & replenish inventory: stationery & coffee/milk/water supplies. Event management - organise staff outings, Xmas party; taxis, flights etc. when necessary as well as all incoming & outgoing mail. Support of Finance & HR. Support the car/fleet management with essentials like insurance/tax/spare keys/ Fuel cards/toll tags etc. Mobile phones: you will manage this inventory, issuing new phones & dealing with any issues. Employee Expenses- you will be the point of contact for expenses: Raising POs for the Finance Team; organisjng Banking Clearance & Security Checks for new employees. Other general office duties, e.g. filing, scanning and archiving. You will ideally have a flexible, positive attitude to work. You will be proactive & work on your own initiative; adaptable to change. You will have strong Microsoft Word & Excel Skills; excellent communication skills along with a natural flair for getting the detail right.
