SUMMARY OF ROLE: We are currently recruiting for an Administrator for our Client, a professional accountancy practice based in Dublin 2. This is a permanent full-time job with good opportunity to develop and progress. Full training will also be provided. KEY RESPONSIBILITIES: • Perform reception duties in an efficient, professional and courteous manner; • File data and perform other routine clerical tasks as assigned; • Order and maintain relevant supplies and maintaining the presentation of the office ; • Communicate and liaise verbally and in writing with clients and suppliers as appropriate; • Diary management, arranging and welcoming clients to meetings, booking conference calls, rooms, taxis, couriers and hotels; • Ensuring that all transactions are posted on a daily basis to the firm’s office and client bank accounts, reconciliations are carried out on a weekly basis, and any unidentified credit transfers to either account are brought to the attention of a partner of the firm on a timely basis; • Responsibility for the maintenance of the office debtors and creditors ledgers by daily monitoring and ensuring that all invoices are posted and that the excel VAT file and hard copy practice invoice file are kept up to date; • Liaising with partners on an on-going basis in respect of organising supplier payments; • Ensuring that software packages used by the firm are updated as and when appropriate; • Responsibility for overseeing the operation of petty cash and carrying out monthly reconciliations in respect of this; • You will also assist in the co-ordination, supervision and review of client payroll assignments; • Project managing the preparation of presentations and requests for tender and assisting with presentations, typing, copying and binding; • Responsibility for IT back up procedures and liaising with external IT support to ensure effective management of the office IT function. ESSENTIAL REQUIREMENTS: • Able to learn and use a number of systems on a daily basis, must have excellent Outlook, Excel, Word and Power Point skills; • Strong attention to detail; • Fast and accurate keyboard skills; • Good numerical skills; • Excellent phone manner and good customer service skills; • Administration experience in an accountancy/legal practice would be an advantage; • An ideal candidate for the role has basic knowledge of payroll but is not essential. RATE OF PAY: €25,000 to €27,000 per annum DOE. WORKING HOURS: Monday to Friday 9am-5.30pm. JOB CODE: QED0090.
