Arts & Creative Engagement Production Administrator. Background. Irish Hospice Foundation is seeking a Production Administrator to help achieve our ambitious aims and support the development of our exciting and innovative Arts and Creative Engagement programmes. Working across teams, in the Marketing & Communications team, and closely with the Arts and Creative Engagement Officer, you will be responsible for a fast developing programme where arts and creative engagement connects with individuals, communities and expertise across Ireland. Irish Hospice Foundation’s ambition is to promote better understanding of dying, planning and support for people at the end of life or grieving. This strand of work is focused on the role arts and creativity can play in communicating understanding at the end of life, in dying, and through loss and grief.  We work collaboratively across the arts, health and community sectors on a variety of developing programmes. We work with artists, health care staff, support workers, carers, venues, participants, evaluation and documentation teams, NGO’s and HSE departments. We are all about people. You will play a key role in ensuring the smooth day to day running of our projects, providing general administrative support and practical operational support to our Arts and Creative Engagement programmes.  The Role  Duties will include: Administrative support Manage, monitor and develop the administration systems of Arts and Creative Engagement. Ensure that team members are trained and up to date with administrative systems. Manage and update contact databases  Maintain and track contractual, financial and communication detail with collaborators and stakeholders including artists, support workers, venues, participants, evaluation and documentation teams, NGO’s and HSE departments. Ensure compliance with all financial, contractual, legal and health and safety requirements as necessary. Maintain internal communication updates across IHF’s departments and external communication via the Communications team and with subcontractors. Schedule meetings when required. Attend weekly meetings as required by Head of Marketing & Communications and CEO. Log, manage and file administration and evaluation forms and surveys. Organise public events if required and provide administrative support to team members generally and specific projects as may arise. Any other administration work that has been reasonably requested. HR Support Ensure team HR records (online and offline) are up to date and complete  Prepare project reports, as required. H&S Support Liaise with creative teams, supporters, suppliers and contractors to ensure H&S compliance. Ensure company policies are effectively communicated across the full team. Person specification. The ideal person for this role will have: Minimum of 2 years of production management or administration or equivalent experience is essential. A suitable qualification in project management, events or administration is not a requirement, but would be an advantage. Excellent administrative and organisational skills. Proficiency in Microsoft Office and GSuite is essential. Excellent communication, listening and interpersonal skills  An understanding of the work of Irish Hospice Foundation. An interest in arts and creative engagement. Ability to plan, organise and develop a project, to work independently and to deadlines, with flexibility around working hours  An ability to think creatively - to try, fail, learn, and try again. Willingness to find ways of working with diverse people. Reporting. The Arts & Creative Engagement Production Assistant will report to the Arts and Creative Engagement Officer, Irish Hospice Foundation. Position summary  Full time, fixed term contract for 10 months. 3 month probationary period. Location: Irish Hospice Foundation, Morrison Chambers, 32 Nassau Street, Dublin 2, D02YE06 and remotely as pandemic related government guidelines demand  Key relationships: Arts and Creative Engagement Officer; Head of Marketing & Communications; Communications and Engagement teams. Salary: €32,000 gross p.a. pro-rated to 10 months e.g. €26,667 gross p.a. Benefits  Annual leave of 23 days (will be pro-rated for part-time)  Closure of the office on Good Friday, half-day Christmas Eve and time between Christmas and New Year in addition to annual leave entitlement.
